A parameter ensures that a single report automatically adapts to the person who opens it. Based on factors such as department, role, or a specific user, the system determines which data is visible. This way, each user sees exactly the information they need, while you only have to manage one report.
Tailored Quality Reports
Let’s take an “Incident Overview” report as an example. In the past, separate reports had to be created for Production, Logistics, Quality, and HR. With parameters, that is no longer necessary. You create one central report, and the system automatically filters the data based on the department of the logged-in user.
This means, for example, that:
a Production Team Leader only sees production-related incidents;
a Logistics Manager only sees logistics-related reports;
a Quality Manager can view all incidents across the organization.
The benefits are immediately clear: less administrative effort, fewer opportunities for errors, and consistently reliable reporting.
Efficient Audits and More
This approach can also be applied to other departments. Thanks to parameters, a process owner only sees the audit actions for which their department is responsible, while an auditor receives a complete organization-wide overview.
Within document management, parameters are just as practical. A department manager primarily needs insight into documents within their own department that are due to expire or require review soon. A quality manager, on the other hand, needs to monitor all documents across the organization.
With parameters, the entire organization can use the same dashboard or themed report, while each user sees content tailored to their specific role and responsibilities.
